We’re looking for a Specialist/Senior Specialist with 4–6 years of experience who is passionate about crafting seamless, high-impact employee experiences from day one. This role sits at the intersection of systems, people, and innovation — ideal for someone who thrives in fast-paced environments and enjoys bringing clarity, empathy, and excellence to complex onboarding journeys.
As an essential member of our Talent team, you’ll build and operationalize onboarding programs that drive engagement, reduce ramp time, and reinforce our culture. You’ll bring strong systems thinking (especially with tools like Oracle HCM and AI technologies like ChatGPT), a flair for project management, and a curiosity for how technology can transform employee experiences.
This is a high-impact, hands-on role with exposure across the business — from Talent, IT, and L&D to Business Operations and Leadership.
What You'll Do
- Design and deliver scalable onboarding processes that delight new hires and equip them to thrive from day one.
- Partner with cross-functional teams (HRIS, IT, Talent Acquisition, Learning, Business Units) to orchestrate a seamless experience from offer acceptance through the first 90 days.
- Serve as the subject matter expert and administrator for onboarding systems and tools, particularly Oracle HCM, ChatGPT, and other AI-enabled platforms.
- Continuously improve the onboarding experience through feedback, data, automation, and best practices.
- Build strong working relationships with stakeholders to anticipate and solve for friction points in the new hire journey.
- Support development and maintenance of playbooks, templates, training, and communications to support managers and new hires in collaboration with other HR Centers of Excellence.
- Track and report key onboarding metrics (e.g., ramp time, satisfaction, process completion) and drive improvement.
- Stay current on onboarding trends and innovations from world-class organizations to keep our experience best-in-class.
- Prepare upcoming onboarding classes (typically 10-15 weekly) by transforming pending worker data into active profiles, reviewing documentation, completing compliance-required documentation and resolving data gaps where automation is incomplete.
- Work closely with HR Business Partners to support acquisition onboarding and integration regularly throughout the year, ranging from 5 to 150 new associates.
- Act as the go-to resource for new hires during onboarding, resolving or escalating system and experience issues to ensure a smooth transition into the company.
- Monitor onboarding pipelines to ensure key milestones are met and no critical deadlines are missed.
- Partner with Internship Programs to onboard seasonal intern classes ranging from 30-100 interns.
What You'll Bring
- 4–6 years of experience in onboarding, people operations, HR programs, or employee experience, ideally in fast-paced tech, product, or financial services environments.
- Proven experience in systems implementation or process management — especially within Oracle HCM or similar HRIS platforms.
- Familiarity with emerging AI tools (like ChatGPT) and a strong belief in their potential to transform employee experiences.
- Demonstrated ability to think both strategically and tactically — you can design big-picture programs and then roll up your sleeves to execute them.
