To continue this trajectory, we’re searching for a highly qualified Payroll and Benefits Specialist to join our finance team responsible for global payroll and benefits program administration.

This role will be Remote, U.S. with strong preference to the East Coast.


Responsibilities include

PEO Transition

  • Managing the transition plan for moving payroll and benefits administration from a PEO back to the company

  • Overseeing the transfer of accurate employee data from the PEO's system to the company's new system

  • Setting up and configuring the new internal payroll and benefits administration system workflows

  • Re-establishing internal processes for all payroll and benefit-related functions

  • Ensuring compliance during the transition and that all necessary documentation is handled correctly

  • Assisting employees with the transition to the new systems and providing information on new procedures

  • Performing final audits and reconciliations to ensure a clean cutoff from the PEO relationship and a seamless transition to internal administration

Payroll Administration

  • Process biweekly or semimonthly payroll for all employees, ensuring accuracy in pay rates, deductions, taxes, and withholdings

  • Maintain and update payroll records including new hires, terminations, pay changes, and leave adjustments

  • Process expense reimbursements as applicable

  • Process special types of payroll related to commissions, bonus and severance payments

  • Reconcile payroll prior to transmission and validate confirmed reports

  • Prepare and distribute W-2s, 1099s, and other year-end payroll documents

  • Ensure compliance with all applicable wage and hour laws and reporting requirements.

  • Coordinate with accounting on payroll journal entries, general ledger reconciliations, and financial reporting

Benefits Administration

  • Administer employee benefit programs including health, dental, vision, disability, life insurance, and retirement plans

  • Process enrollments, changes, and terminations with benefit carriers and maintain accurate employee benefit records

  • Coordinate annual open enrollment activities and employee education sessions in conjunction with the People Operations team

  • Reconcile monthly benefits invoices and ensure timely payment to vendors

  • Assist employees with benefits-related questions, claims, and issue resolution

  • Ensure compliance with ERISA, COBRA, ACA, HIPAA, and other applicable regulations

  • Track and report on benefits utilization, costs, and trends to support budgeting and strategic planning.

Compliance and Reporting

  • Maintain confidential employee records in compliance with company policies and data protection laws.

  • Support audits and filings related to payroll, benefits, workers’ compensation, and retirement plans (e.g., 401(k) compliance testing, Form 5500).

  • Prepare and submit required government reports such as EEO, ACA, and state payroll tax filings.

General HR Support

  • Assist the People Operations team with onboarding, offboarding, and policy updates related to compensation and benefits.

  • Recommend and help implement process improvements to enhance payroll and benefits operations.

  • Support special projects and cross-departmental initiatives as needed.

Qualifications

  • 3-6 years of accounting or finance experience, including payroll and benefits administration with proven expertise in both US and international contexts.

  • Workday experience, including implementation preferred

  • Prior PEO-to-in house conversion experience preferred

  • Proven experience as a Payroll and Benefits Administrator, or similar role.

  • In-depth knowledge of payroll processes, tax regulations, and compliance requirements.

  • Proficiency in using payroll software or systems for end-to-end payroll processing.

  • Familiarity with benefits management principles and employee benefits programs.

  • Strong attention to detail and accuracy in processing payroll and administering Benefits.

  • Ability to independently resolve complex problems where analysis requires in-depth evaluation of several factors

  • Proficiency in Microsoft Office Suite, particularly Excel for data analysis and reporting.

  • Proven history of being able to deal with large and complex data sets taken from several systems

  • Ability to be a business partner that provides critical recommendations

  • Certified Payroll Professional (CPP) or knowledge of global payroll certifications (e.g., GPHR) is a plus.

  • Bachelor’s degree in accounting or finance preferred
