We are seeking a Staff Accountant to join our Finance team in Guadalajara, supporting both U.S. and Mexico operations. This role is ideal for a detail-oriented, proactive accounting professional who thrives in a fast-paced, high-growth environment and wants to contribute meaningfully to our portfolio companies' financial success.
What You Will Do:
Core Accounting & Reporting:
- Prepare and post journal entries (expenses, payroll, accruals, intercompany transactions, revenue, etc.).
- Assist in preparing monthly financial statements for Mexico and support U.S. financial reporting.
- Analyze account variances and ensure accurate month-end close in accordance with MX and U.S. GAAP (as applicable).
- Perform weekly and monthly bank reconciliations and support daily cash management activities.
- Generate intercompany invoices and perform monthly tie-outs to ensure accurate revenue recognition and tax compliance for cross-border services.
- Tax Compliance & Regulatory Support (Mexico)
- Ensure compliance with Mexican tax regulations, including monthly VAT, income tax, informative filings, and SAT requirements.
- Prepare and submit monthly VAT refund packages with complete audit-ready workpapers.
- Validate that expenses meet requirements for proper tax-deductible invoicing.
- Support IMSS, SAR, and INFONAVIT requirements and audits.
- Assist in annual reporting requirements such as Transfer Pricing Studies and actuarial reports.
- Complete quarterly/annual filings required by the Secretary of Economy.
- AP/AR & Operational Accounting
- Support AP/AR activities, including vendor processing, Bill.com workflows, and payment scheduling.
- Collaborate with founders and Finance leadership to support cash flow planning and working capital management.
- Maintain accurate payroll records for both U.S. and Mexico in partnership with HR and Finance.
Payroll Responsibilities (USA):
- Manage end-to-end U.S. payroll processing, ensuring all updates-including hours worked, overtime, bonuses, PTO, expenses, reimbursements, and other employee changes-are accurately captured in the appropriate payroll cycle.
- Upload, organize, and maintain payroll data and supporting documentation in designated folders and payroll systems.
- Enter payroll adjustments, reconcile inputs, and perform detailed accuracy checks before each payroll run.
- Review payroll registers and summaries, compare against prior periods, and validate employee changes for accuracy and compliance.
- Collaborate with directors, managers, and cross-functional teams to resolve discrepancies and validate payroll amounts.
- Perform quarterly and year-to-date payroll audits, including employee benefit reconciliations (e.g., Cigna, HSA, 401(k) and similar programs).
- Reconcile payroll system data with accounting system records to ensure alignment across payroll expenses, liabilities, and general ledger entries.
- Prepare payroll and labor-cost reports for leadership, supporting analysis at the department, segment, and company-wide levels.
- Run payroll and ensure timely distribution of payroll reports to internal and external stakeholders, including monthly/quarterly reporting to clients.
- Maintain compliance with federal, state, and local payroll regulations and support year-end processes such as W-2 and annual reporting.
Cross-Functional Collaboration & Process Improvement:
- Work closely with U.S. and Mexico Finance teams to document, standardize, and optimize accounting and payroll processes.
- Assist FP&A with cash forecasting and data validation.
- Support the development of Power BI dashboards and contribute to financial reporting and data quality initiatives.
Your Knowledge, Skills & Abilities:
- 3-5 years of accounting experience, preferably in a Big 4 or similar audit/accounting role.
- Strong knowledge of Mexican accounting standards, tax regulations, and government reporting.
- Experience using Contpaqi for accounting and financial reporting.
- Advanced Excel skills (functions, formulas, pivot tables).
- High attention to detail, strong organizational skills, and a passion for accuracy.
- Proactive, innovative thinker committed to continuous improvement.
Bonus Qualifications (Nice to Have):
- Experience with U.S. GAAP, Sage Intacct, Bill.com, SAP, OpenAir, or other accounting/time-entry systems.
- Experience supporting or processing Mexico payroll.
- Exposure to cross-border or global accounting teams.
- Willingness to learn Power BI and SQL for enhanced reporting and data management.
- What Would Make You an Outstanding Candidate
- Experience managing full financial statements and delivering results to Controllers or Directors of Finance.
- Strong stakeholder management and the ability to work effectively across global teams.
- Familiarity with time-entry or accounting software used in professional services environments.
